Serial, batch and expiry tracking
Track serial numbers, batches and expiry dates as stock comes in and goes out.
Tracking tells you exactly which units you have, where they came from and where they went.
| Tracking | What it records |
|---|---|
| Serial number | A unique number for every unit. |
| Batch / lot | A batch or lot number for a group of units. |
| Expiry date | When each batch expires. |
Go to Settings → Products → Inventory Tracking and turn on the kinds of tracking you use.
Open the product and turn on Serial Number Tracking, Batch / Lot Tracking or Expiry Date Tracking. Save.
Good to know: you can't turn tracking off for a product that has stock, because its records would no longer add up.
When you receive a purchase order, fill in the batch number, expiry date or serial numbers for each tracked line. You can't receive the line until they're filled in.
For serial numbers, type them into one box, one per line. Press Enter after each one, or paste a list. See Receive a purchase order.
When you pick a sales order or transfer, choose which batch, expiry date or serial number to take from the Available Stock panel.
If you ship without picking, InventaHQ chooses for you using the Auto-Picking Rule in Settings → Sales:
Rule Takes first FIFO The oldest stock LIFO The newest stock FEFO The stock that expires soonest

Open the product and go to Stock Details. Stock Groups lists stock by location, bin, batch, serial number and expiry date.
If some stock arrived before you started tracking, it shows as Not recorded.
Find a serial or batch
Go to Products → Stock Movement and search by serial or batch number. You'll see when it was received, moved and sold.
