Receive a purchase order
Record stock arriving from a supplier, all at once or in parts, with serial, batch and expiry details.
Before you start
You need the Receive stock permission. You can only receive Open and Partially Received orders.
Go to Purchases, open the order and click Receive Stock.
The top of the screen shows the location you're Receiving into. Set the Receive Date. Choose a Default Bin if the stock is going into a particular bin.
Under Receive Now, enter the quantity that arrived on each line. The screen shows what was Ordered, already Received and still Remaining.
Tracked products need extra details before you can receive them:
- Serial Numbers — type one serial number and press Enter for the next, or paste a list. The box grows as you go, and the quantity matches the number of serials.
- Batch / Lot # — for batch-tracked products.
- Expiry Date — for expiry-tracked products.
The columns follow each product's tracking settings.
Add any Receiving Notes, such as damaged cartons.
Click Confirm Receipt and confirm. The stock is added to the location, and the product's last and average cost are updated.
- If everything has arrived, the order is Closed.
- If some is still to come, it's Partially Received. Receive the rest later.
Good to know: you can't receive more than was ordered unless Allow Over-Receiving is on in Settings → Purchases.
Close it now and backorder the rest
If the supplier is sending the rest later, click Receive & Create Backorder instead. InventaHQ:
- receives what you entered and closes this order,
- creates a new Open order for what's still to come, with a letter on the end. For example, PO-0001 becomes PO-0001A, then PO-0001B.
