Set up payment terms and due dates
Create the payment terms you offer, and let InventaHQ work out each invoice's due date.
Payment terms tell your customers when to pay. InventaHQ uses them to work out the due date on invoices, and sends that date to Xero.
Before you start
You need the Manage contact settings, Manage sales settings or Manage purchase settings permission.
Go to Settings → Contacts. Scroll to Payment Terms. You'll see the terms you already have, such as Net 30 and COD.
Click + Add term and give it a name, for example 20th of next month.
Rule Example Due date for an invoice dated 10 March Days after the invoice date 30 9 April Days after the end of the invoice month 30 30 April Day of the invoice month 20 20 March Day of the following month 20 20 April Enter the number of days, or the day of the month. Use 0 days for terms like COD or Due on receipt.
Save the term. It's now in the Payment Terms list on contacts, sales orders and purchase orders.
Use payment terms
- On a contact: set their Payment Terms. New orders for them use it.
- For every new contact: set Default Payment Terms in Settings → Contacts → Default Contact Settings.
- On an order: change Payment Terms on the order if this one is different.
The due date prints on the invoice when Due date is switched on. See Print pick lists, packing lists and invoices.
Good to know: if a day doesn't exist in a month, the last day of the month is used. For example, the 31st of April becomes 30 April.
Bring in your terms from Xero
If you use Xero, you can import your Xero payment terms. See Import payment terms from Xero.
