Set up InventaHQ: your first steps
Follow these steps in order so your products, orders and reports work properly from day one.
Work through these steps in order. Each one builds on the last, and most only need doing once.
Before you start
You need to be an Administrator to change settings.
Go to Settings → General → Business Details. Add your business name, contact details, NZBN or ABN, GST number and logo (JPG or PNG, up to 1 MB).
These print on your purchase orders, invoices, pick lists and packing lists.
On the same tab, check your base currency, time zone and date format.
Good to know: the base currency locks after your first transaction. Set it before you create any orders.
Under Tax Rates, click Add Tax Rate. Enter a name (for example GST), a code and a rate, such as 15% for New Zealand GST or 10% for Australian GST.
Go to Settings → General → Locations & Bins and click Add Location for each warehouse, shop or storage area. If you use shelves or bays, click Manage Bins to add them.
Go to Settings → Products and set:
- serial number, batch or expiry tracking,
- decimal quantities,
- units of measure, such as Each, Box or kg,
- price levels, such as Retail and Wholesale.
Go to Settings → Contacts → Payment Terms and check the terms you offer. See Set up payment terms and due dates.
Open Settings → Sales, Settings → Purchases and Settings → Transfers. Set your order numbering, default locations, and how many steps an order goes through before it ships.
See Sales settings and Purchase settings.
Add customers and suppliers under Contacts, and your items under Products. If you have them in a spreadsheet, import them:
Run a stocktake to load the quantities you have now. See Run a stocktake.
Go to Settings → Users and click Invite User. See Invite users to your organisation.
